Parish Of Cleenish – Privacy Notice

1. Introduction
From 25 May 2018, data protection laws are changing with the introduction of the General Data Protection Regulation (the “GDPR”).  This Privacy Notice sets out why and how the Parish of Cleenish may use your personal information.

2. Who are we?
For the purposes of data protection, the Parish of Cleenish is the “data controller”.  This means it decides how your personal data is processed and for what purposes.

3. How do we process your personal data?
The Parish of Cleenish complies with its obligations under the “GDPR” by keeping any personal data accurate and up to date; by only collecting or retaining minimal personal data and for no longer than is necessary; by lawfully using any personal data and only for the purpose for which it was collected; and by ensuring that appropriate technical and organisational measures are in place to protect any personal data from loss, misuse, unauthorised access and disclosure.

We may hold your personal data for some of the following purposes: -

·                     To enable us to serve you, the Parishioners;
·                     To keep Parish records;
·                     To promote the interests of the Parish;
·                     To communicate with Parish volunteers;
·                     To maintain Parish accounts and records (including the processing of gift aid applications);
·                     To inform you of Parish or Diocesan news, events, activities and services;
·                     To organise and facilitate the Parish draw; and
·                     As part of our child protection procedures and for security purposes. (CCTV image and voice recording is in operation in public areas of the Parish House in Belcoo)


4. What is the lawful basis for processing your personal data?
  1. Legitimate interests: We may use your information for legitimate interests, such as to serve you, the Parishioners; as part of our child protection procedures; or for administrative purposes.
  2. Legal obligations: We may need to process your information in line with a legal requirement, for example to share information with HMRC regarding gift aid. 
  3. Consent: We may rely on your consent to use your personal information for certain purposes, for example to keep you informed about Parish and Diocesannews, events, activities and services. You may withdraw your consent at any time by contacting us using the contact details in this Privacy Notice.
By the very nature of our work, some of the personal information we process will be related to religion and faith and as such is classed as “special category” data which demands additional safeguards.  The legal basis for processing this type of information is as follows:
4.      Carried out by a not-for-profit body with a political, philosophical, religious or trade union aim provided: -
o   the processing relates only to members or former members (or those who have regular contact with it in connection with those purposes); and
o   there is no disclosure to a third party without consent.

5. Sharing your personal dataYour personal data will be treated as strictly confidential and will only be shared with other members of the Church for purposes connected with the church or in order to serve you, the Parishioners. Some personal information may be shared externally with our accountant for financial accounting purposes (ie. gift aid declarations).  Otherwise, we will only share your data with other third parties outside of the Parish with your consent, or where we have a legal obligation to do so.  

6. How long do we keep your personal data?Gift aid declarations and associated paperwork are retained for up to 6 years after the calendar year to which they relate.  Parish registers (baptisms, marriages, funerals) are retained permanently.  CCTV image and audio recordings are retained for security and child protection purposes for a period of 28 days, or longer where there is a legal reason for doing so.  
7. Your rights and your personal data 
Unless subject to an exemption under the GDPR, you have the following rights with respect to your personal data: -
·         The right to request a copy of your personal data which the Parish of Cleenish holds about you;
·         The right to request that the Parish of Cleenish corrects any personal data if it is found to be inaccurate or out of date; 
·         The right to request your personal data is erased where it is no longer necessary for the Parish of Cleenish to retain such data;
·         The right to withdraw your consent to the processing at any time
·         The right, where there is a dispute in relation to the accuracy or processing of your personal data, to request a restriction to be placed on further processing;
·         The right to object to the processing of your personal data; and
·         The right to lodge a complaint with the Information Commissioner’s Office using the contact details at the end of this notice.

8. Live Streaming of Church Services
Some services in St. Patrick’s Church, Holywell are streamed live on the internet for the benefit of parishioners who cannot attend services in person or for friends of the Parish to share in our services.  Images are not recorded/collected/stored in any way by the Parish of Cleenish or by the service provider www.churchservices.tv. A notice is in place in the Church reminding attendees that the streaming service is in operation.  If you have any concerns, please contact the Cleenish Parish Office using the contact details below.

9. Our Social Media and Website
Our Facebook page is @cleenishparish.  We recommend you do not publicly submit any personal data to these pages, for example within comments on the Facebook page.  Our website www.parishofcleenish.com is hosted by Google’s Blogger service and uses cookies (pieces of data that are sometimes created when you visit a website) from Google to deliver its services, to personalise ads and to analyse traffic. The Parish of Cleenish does not use or retain this information.  If you choose to visit our website, information about your use of our website is shared with Google.  Google cookie policy: https://policies.google.com/technologies/cookies
Our website contains links to other websites.  However, this Privacy Notice only refers to www.parishofcleenish.com so if you link to other websites you should also read their privacy policies or notices.
